Colorado Realty and Property Management, Inc. is seeking a motivated, organized, and proactive professional to join the leading property management company in Colorado. This role is based in our Colorado Springs office.

As our Property Coordinator, you’ll spend much of your time in the field helping ensure our properties are well maintained, properly documented, and ready for our residents.

You will conduct move-in and mid-lease property walk-throughs, identify maintenance needs, create work orders, document lease or property concerns, and provide hands-on field support throughout our portfolio. You’ll work closely with our Maintenance and Leasing teams to make sure issues are communicated clearly and addressed promptly.

This is an ideal position for someone who enjoys being out in the field, notices the details, makes good judgment calls, and takes ownership without needing constant direction.

What You’ll Do

Move-In Walk-Throughs & Property Readiness

• Conduct move-in walk-throughs to ensure properties are clean, safe, functional, and ready for residents.
• Thoroughly document property condition, including photos, notes, and identified maintenance concerns.
• Identify items requiring attention and create work orders directly when appropriate.
• Use sound judgment to distinguish between items that require immediate action and items that should be escalated or discussed with the Maintenance team.
• Help ensure properties meet company standards and applicable habitability requirements before and immediately following move-in.

Mid-Lease Walk-Throughs

• Conduct scheduled mid-lease property walk-throughs for occupied properties.
• Document the condition of the property and identify maintenance concerns, preventative maintenance needs, potential resident-caused damage, and other issues requiring follow-up.
• Create maintenance work orders directly based on findings when appropriate.
• Clearly document concerns requiring additional review or action.
• Identify potential lease violations observed during walk-throughs and coordinate with the Leasing team for appropriate follow-up.

Work Order Creation & Maintenance Support

• Create clear, detailed work orders based on issues identified during property visits and inspections.
• Include appropriate photographs, descriptions, property information, and other documentation so maintenance issues can be addressed efficiently.
• Prioritize urgent or habitability-related concerns and escalate them appropriately.
• Follow up on field issues when additional assessment or documentation is needed.
• Communicate with Maintenance regarding unusual, complex, or higher-cost issues before proceeding when appropriate.

Field & Property Support

• Travel throughout the portfolio to assist with property-related needs as they arise.
• Conduct property assessments and follow-up visits.
• Install, remove, or troubleshoot lockboxes as needed.
• Verify completion of maintenance or property-readiness items when requested.
• Assist with vacant properties, move-ins, move-outs, access issues, vendor access, and other field needs.
• Respond to unexpected property situations and help determine the appropriate next step.
• Serve as an additional set of eyes and ears in the field for the Maintenance, Leasing, and Property Management teams.

Documentation & Communication

• Maintain accurate and timely documentation of all property visits, walk-throughs, photographs, findings, and work orders.
• Communicate important findings promptly to the appropriate team members.
• Keep Maintenance and Leasing informed of issues requiring their involvement.
• Communicate professionally with residents, property owners, vendors, and team members when working in the field.
• Ensure follow-up items don’t fall through the cracks.

Customer Experience

• Represent Colorado Realty and Property Management professionally while visiting properties and interacting with residents.
• Look for opportunities to proactively solve problems rather than simply reporting them.

• Excellent written and verbal communication skills.
• Ability to take clear photographs and create thorough, useful documentation.
• Comfort communicating with residents and handling potentially uncomfortable conversations professionally.
• Ability to recognize when an issue should be handled through a maintenance work order versus when it should be escalated to Maintenance, Leasing, or management.
• Comfortable using technology in the field, including smartphones, property management software, Gmail, Google apps, and related tools.
• A team-oriented mindset and willingness to jump in and help wherever needed.
• Professionalism, accountability, and resilience when dealing with unexpected or challenging situations.

Requirements

• Reliable personal vehicle.
• Valid driver’s license and proof of insurance.
• Ability and willingness to travel regularly between properties throughout the company’s service area.
• Proficiency with Gmail, Google apps, smartphones, computers, and other technology tools.
• Strong written and verbal communication skills in English.
• Ability to perform property walk-throughs, including accessing different areas of residential properties and documenting conditions.
• Ability to work independently and manage a field-based schedule.
